Payroll Management

The Office of Payroll Management processes payroll for all employees.

Monthly Pay

Monthly-paid employees are paid "current month" for regular duties and pay day is the last business day of the month.   Please be aware that the last business day of the month may not be the same as the last school day in the month. The only exception to this schedule is in December when the payday is the last school day prior to the winter holiday.   You are not required to fill out timesheets to record your regular work hours, only for your leave taken.

You are paid gross wages in equal amounts over the length of their contract/work year.

Your Pay—Effective July 1, 2018 for Pre-labor Day School Start Years:

Monthly paid employees are paid gross wages in equal amounts as described below:

  • Employees who work 180 contract days –NO CHANGE
    • Paid September through June in equal installments of 1/10th of contracted salary.
    • All benefits (including health/dental insurance, retirement, life insurance, etc.) taken over 10 months (September to June).
  • Employees who work 185-208 contract days
    • Paid August through June in equal installments of 1/11th of contracted salary.
    • Voluntary 403(b) or 457 tax deferred arrangements taken from all eligible pay in August.
    • All benefits (including health/dental, retirement, life insurance, etc.) taken over 10 months (September to June).
  • Employees who work 209 contract days—NO CHANGE
    • Paid from August through June in equal installments of 1/11th of contracted salary.
    • Voluntary 403(b) or 457 tax deferred arrangements taken from all eligible pay in August.
    • Retirement and  life insurance deductions will be taken from all eligible pay in August.
    • All other benefits (including health/dental insurance, etc.) taken over 10 months (September to June).
  • Employees who work 214-219 contract days
    • Paid July through June in equal installments of 1/12th of contracted salary.
    • Voluntary 403(b) or 457 tax deferred arrangements taken from all eligible pay in July and August.
    • Retirement and  life insurance deductions will be taken from all eligible pay in August.
    • All other benefits (including health/dental insurance, etc.) taken over 10 months (September to June).
  • Employee who work 260 contract days
    • Paid from July through June in equal installments of 1/12th of contracted salary.
    • Retirement, life insurance deductions, voluntary 403(b) and 457 tax deferred arrangements taken from all eligible pay July and August.
    • All other benefits (including health/dental insurance, etc.) taken over 10 months (September to June).

Retirement deductions and contributions to tax deferred accounts are taken from all eligible pay, including July and August.

Extra Work

Pay for any additional duty positions/jobs such as curriculum development, test proctoring, etc. are paid one month in arrears and in a separate payment. For example, if you worked additional duties during the month of September, your time must be entered in MyTime by October 1 to receive  your pay on the last business day in October.

Monthly paid employees must enter time in MyTime for additional duty positions/jobs in order to receive pay for such work.

Leave Taken

All leave taken must be entered in MyTime by the designated deadlines and will be processed one month in arrears. For example, leave taken in September will be processed in October.

Biweekly Pay

Biweekly paid employees are paid on a biweekly basis every other Friday, two weeks in arrears. Each work week begins on a Saturday and ends the following Friday; two work weeks comprise each biweekly pay period. For example, a two week pay period beginning on Saturday the 1st and ending on Friday the 14th, is paid on Friday the 28th.

Pay for biweekly employees reflects the hourly rate multiplied by the number of compensable hours during the pay period.  Retirement deductions are taken from all regular pay.  For all other deductions:

  • 10 month biweekly paid employees have their benefits and other deductions taken over 20 pay periods.
  • 11 month biweekly paid employees have their benefits and other deductions taken over 20 pay periods.
  • 12 month biweekly paid employees have their benefits and other deductions taken over 20 pay periods.

Extra Work

Pay for any additional duty positions/jobs such as hourly clerical, community use, etc. is also paid two weeks in arrears, on the same pay dates as regular pay, and in a separate payment. For example, additional duties worked during a two week pay period beginning on Saturday the 1st and ending on Friday the 14th, is paid on Friday the 28th.

Pay Advices

All employees receive their pay advices electronically via their FCPS email account three days prior to payday.

Paycheck Modeling

Paycheck Modeling is available on UConnect.  You can model the impact of additional deductions, a change in your tax status or an increase in pay by using the Paycheck Modeling tool.

You will need to have a current pay stub handy to complete the requested information. If you do not have a pay stub, you may obtain one through UConnect.
