Attendance Procedures

 

Please take a moment to review Attendance Office procedures (also printed in the Student Planner, pages 3-4) for:   

  • Checking in Tardy
  • Checking out Early
  •  All day Absences
  • Prearranged Absences

For all attendance related issues, please call the automated phone line (703-503-4800) and select the appropriate prompt for:
ALL DAY ABSENCES:  Please select option 1.  Speaking slowly and clearly, leave the student’s name, and SPELL the student’s last name, your relationship to the student (mother or father, we must hear from a parent regardless of the student’s age), and if they are experiencing any of the following as the clinic is required to track these symptoms (sore throat, cough, vomiting, diarrhea, and fever).  Lastly, please leave a contact number should we need to reach you.

CHECKING-IN TARDY:   Please send your student in with a note which they will take to the Attendance Office to check in.  The note should include the following:  the date, the reason for the tardy, an original parent’s signature and a phone number for the parent.  If you choose to call, select option 2 on the automated line.   Please SPELL the last name; give your relationship to the student (mother or father) and the reason for the tardy.  (Please see pages 3 & 4 of the Student Planner for a list of excused and unexcused absences/tardies.)  

CHECKING OUT:   PLEASE SEND STUDENTS IN WITH A NOTE TO CHECK OUT OF SCHOOL DURING THE SCHOOL DAY!!!  The student should bring their note to the Attendance Office no later than 9 a.m. to receive a pass which will allow them to leave their classroom.  The information in the note should include:  date, reason for checking out, time the student needs to leave, parent’s original signature and a phone number for parent. 
PRE-ARRANGED ABSENCES:  Students may pick up a prearranged form from the Attendance Office for absences of more than one day that will be occurring at least 48 hours later.  The student must either have a note signed by a parent or have a parent sign the form.  The student delivers the form to the front office to be signed by an Assistant Principal.  Next the teachers sign the form.  Finally, the completed form needs to be returned to the Attendance Office to be entered into the attendance records.  Once again, a minimum of 48 hours is needed to complete this process and should only be done for absences longer than one day.
