EPAY to Begin With November Monthly Pay Day, Watch Your E-Mail Inbox for Electronic Pay Advice

Starting with the November monthly pay day (November 26), FCPS will begin using a paperless system for pay advices (pay stub information). A monthly paid employee who is paid via direct deposit will be e-mailed an electronic pay advice (EPAY). If you currently are paid by check, nothing will change for you. This is a cost-saving initiative included in the approved FY 2009 budget. FCPS anticipates substantial immediate savings in postage fees and paper costs. Savings will also be realized in reduced labor costs associated with printing, sorting, managing, and mailing pay advices.

Using the FCPS secured web site, an employee will be sent an e-mail from epayroll@fcps.edu to his or her official FCPS e-mail account with his or her current pay advice attached as a PDF file. This will provide the employee the opportunity to review pay information as well as print or save as desired. All pay-related information will continue to be available on UConnect. Your electronic pay advice will be sent to you earlier than you would normally receive your advice through the postal system. Monthly paid employees will be automatically enrolled and may opt out. Biweekly employees may opt in to receive their pay advice electronically. See form FS 73-11 to opt in or opt out.

If you have any questions, or for more information, send an e-mail to the Office of Payroll Management at payroll.help@fcps.edu.

Who Are You? Does Your W-2 Match Up With Social Security?

If your name and Social Security number, as they appear on your W-2, do not match what is on file with the Social Security Administration (SSA), your account with SSA may not be properly credited. This may result in a severe reduction in your Social Security and Medicare benefits that would otherwise be provided to you or your survivors. To avoid these problems, verify that your name and Social Security number on file with FCPS matches the name and Social Security number that appear on your Social Security card.

The fastest, easiest, and most convenient way to verify the data FCPS has on file for you is to log on to UConnect. To access UConnect, go to the following web site and follow the instructions for getting logged on: http://www.fcps.edu/DHR/uconnect. After you are logged on, select the Employee option along the top of your screen, then select the Personal Information task on the side bar, and then About Me. If your data matches what is on your Social Security card, then no action is required. If your information needs to be updated with the Social Security Administration, information is available at http://www.ssa.gov/ssnumber/.

Once you have updated your information with SSA, or if our data is not correct but your current Social Security card is accurate, complete an FCPS Name and Address Change form (available on UConnect under Life Events) and send the form and a copy of your Social Security card, if available, to Payroll Management, Gatehouse Administration Center I, suite 2200.

If you have any questions, contact Payroll Management at 571-423-3500.

Communications Corner: Be a Good News Ambassador

In this difficult budget year, it's important that parents and other community members hear more about FCPS and your school than just financial news. Studies show that employees rank first as sources of information about schools and the school system overall for members of the community and those impressions are the most influential. As such, all school-based staff members should be able to answer the following question: "Why should my child enroll at your school?" Second, all staff members should have three good things to share at every opportunity about their school. One effective way of ensuring this is to brainstorm “what’s right in our school” at staff meetings—sessions that include support staff. Encourage everyone to contribute, then pick three items to emphasize in person-to-person contact.

Non-school-based staff members should have good news to share about FCPS as a whole readily available, for example, graduation rates (91 percent), percentage of graduates that continue on to some form of post-secondary education (92 percent); how all FCPS high schools fare in the annual Newsweek Challenge Index (top three percent in the nation), etc.

Sharing the good news happening in our schools and across the school system benefits everyone.
