Attendance
Monday 8:40 a.m.-12:50 p.m.
Tuesday-Friday 8:40 a.m.-3:20 p.m.
Woodburn students are expected to come to school each day and arrive on time. If your student will not be at school, you MUST call the Attendance Line to report the absence. Please provide your child’s name, teacher’s name, reason for absence and your phone number. Without this information, the absence is unexcused. The Code of Virginia now requires that any student who has five or more unexcused absences be referred to the School Attendance Officer. Further unexcused absences will result in a petition to the Juvenile and Domestic Relations Court.
Arriving Late
If your child arrives after 8:40 am, you must accompany your child to the school office to pick up a tardy slip. After receiving the tardy slip, you or an office staff member will walk your child to the classroom.
Leaving Early
If your child needs to leave school during the day for a doctor’s appointment, etc., you should send a note to the teacher in the morning. Your child will remain in the classroom until you arrive to pick them up. You must sign your child out when you pick him/her up in the office. Students will not be released to anyone other than a parent or guardian unless that person is listed on the Emergency Care Card or a signed note of permission is provided to the office.
Going Home with a Friend
If your child has plans to walk, ride the bus, or be driven home with another student, both students must bring notes from their parents and take them to the office by 9:00 a.m. Your child will be given a pass to present to his/her teacher &/or bus driver.
Clinic Services
Health services are provided to elementary schools through the Fairfax County Health Department and the Clinic Aide Program. Clinic aides are trained to maintain a school clinic, administer first aid, conduct health screenings and maintain records for the Health Department. If your child is sick, the clinic will call you to pick up your student. The clinic does not have the capability to care for children who are sick at school. Please be sure that the phone numbers listed for all persons on the Emergency Care Form are current so that an adult can be reached in an emergency.
The school is not permitted to administer medication without the Fairfax County Public School Medication Authorization Form signed by a parent/guardian and a doctor. If your child needs medication during the school day, a parent/guardian must call the clinic to make proper arrangements and the required forms must be on file in the clinic. Severe allergy problems (food, bee stings, etc.) should be brought to the immediate attention of the clinic aide and the classroom teacher.
Students are not allowed to carry any medications to school – prescription or non-prescription. This includes Tylenol/Motrin. Only a parent/guardian may transport medication to and from school.
Food Services
Our cafeteria operates under the National School Lunch Program and serves breakfast and lunch each day. A monthly menu is given to each child.
Pre-payment for meals should be brought to the cafeteria first thing in the morning. Please make checks payable to Woodburn Food Service. Families are encouraged to pay for lunches in advance. Lunch records will be kept on each student’s meal card in the cafeteria. Parents may designate money on meal cards.
Transportation
Bus Riders: Riding the bus to and from school and on field trips is a privilege. Students must follow all safety and good-conduct rules in order for the driver to operate the bus in a safe manner. Regular bus transportation is provided for students who live more than one mile from the school or when an unsafe situation exists. Students designated as bus riders may not walk to/from school because of safety issues. Woodburn students must behave in a cooperative and positive manner at bus stops and on the bus. Due to field trips and other occasional uses of buses by walkers and car riders, all students will receive a copy of Regulations for Pupils Riding School Buses. Students and parents are requested to review the information. Parents must sign the form and return it to school. If a student fails to observe bus rules, the principal will take disciplinary action that may include suspension from riding the bus.
Walkers: Walkers must arrive in the morning between 8:30 and 8:40 a.m. There are no adults on duty to supervise and ensure your safety before or after that time. Walkers who cross Hemlock Drive should use the crosswalk and cross only when a safety patrol or staff member is on duty. Walkers are encouraged to walk in pairs or groups and to practice good walking safety. Walkers should go directly home at the end of the school day and check in with parents.
Kiss & Ride: Car riders must be dropped off between 8:30 and 8:40 a.m. and be picked up by 3:20 p.m. (12:50 p.m. on Mondays). Car riders should be dropped off and picked up in the designated Kiss & Ride area in the parking lot, where an adult is on duty. Car drivers need to wait in line and must not pass any cars in the line. After 8:40 a.m. and 3:20 p.m., (12:50 p.m. on Mondays), parents must drop off or pick up students in the office.
Late Openings, Early closing, cancellation of school
Decisions regarding late openings, early closings, or cancellation of school due to heavy snow and other emergency conditions are made by the Division Superintendent. These decisions are announced over local radio and television stations, Cable Channel 21 and on the FCPS website as soon as they have been made. Please do not telephone the school for this information. The information on radio or television is the most up-to-date. In addition, we need to keep school phone lines open to receive instructions from division officials. Be sure to plan with neighbors and day care providers what to do if school is dismissed early and no one is at home. You need to have this conversation in October or early November, well before severe winter weather conditions are expected.
Emergency care card
Parents/Guardians must complete an Emergency Care Card at the beginning of the school year. The main purpose of the Emergency Care Card is to help us locate a parent when your child is sick or if there is an emergency. It is very important that we be able to locate parents at any time. Please include all work, home, pager and cell phone numbers on the form and list phone numbers of neighbors or adult family members who may pick up your child when parents cannot be reached. Parents should also list any special arrangements they may have for another adult to pick up their child on a regular basis.
Student Behavior Expectations
The Student Responsibilities and Rights handbook (Regulation 2601.15P) is distributed and discussed with all students. Students and parents are asked to sign and return the signature sheet in the handbook to acknowledge receipt, review, and understanding of this information.
It is a student’s responsibility to report incidents that violate school rules, as well as potential problems. That is not considered tattling.
Textbooks & Supplies
Elementary school children are provided textbooks free of charge; however, if books are lost or damaged then payment is required. Students in grades 3-6 will be given a book contract for certain books; parents/guardians are asked to sign the contract and will be billed if the book is lost. Teachers send a supply list home early in the school year, which lets families know what supplies will be needed for the school year. Teachers may ask that supplies be replenished after mid-year.
Thursday Folder
The Woodburn staff thinks it is very important to keep parents/guardians informed of your students’ progress. Teachers will send home an envelope every week on Thursday. We ask you to review the contents of this folder with your child each week when it comes home. Please talk to your student about the work and sign the envelope next to the date. Your child should return the envelope to his/her teacher the next day, Friday. You will receive a special envelope at the beginning of the school year to use for the whole year.
Visitor’s policy
Parents are welcomed in classrooms but should first make arrangements with the teacher so that the visit will not interrupt instruction. Fairfax County School Board policy requires that all persons must come to the office when entering the building. They must complete the visitor’s sign-in and get a visitor’s badge from the office staff. Younger children, friends of students or students from other schools will not be permitted in the classroom except with approval from the principal. To ensure the safety of our students, the front doors will be locked during the school day. Visitors may gain entrance by pressing the button to the left of the doors to alert the office staff.
